JOINING THE CAR CLUB


How do I join the Car Club?

This is very simple– you can join in seconds by completing our online application form (link). One of our Practical Car Club team will then call you to finalise your application.

This should be a quick turnround of no more than 2 working days, hopefully quicker.

Can anyone join?

You can join as a private individual or as a company.

Drivers need to be over the age of 21 and not older than 75.

If you are aged between 21 and 25 you must have held your licence for 2 years and have no endorsements, convictions or accidents.

If you are aged between 25 and 75 you can apply to join the car club as long as you have had you licence for at least 12 months and have no more than 6 points for minor offences

You must inform us of any accidents from within the last 3 years, fault or non fault.

You must also inform us of any criminal convictions.

Our insurance also insists on knowing your occupation - sorry some types they don't like!

If you don’t hold a UK licence you will need to be over the age of 25 and have held your licence for 2 years.

What does it cost to be a Car Club Member?

You can visit our pricing page (link) to see our current rates. You pay an annual membership fee and then a simple hourly/daily rate for the time you reserve the vehicle for plus a mileage charge. We pay for breakdown cover, insurance, servicing, cleaning and fuel. If you wish an extra member of the same household to join.

How do I pay for using the Car Club?

Payment will be taken from the credit or debit card you applied online with the morning after your reservation ends via Continuous Payment Authorisation. You can keep track of all your reservations, payments and invoices online in your member’s area. Keeping control of your transport budget has never been easier.

We will always give you at least 2 days’ notice of any other charges to be applied to your account such as parking tickets, Congestion charges or excess payments.

RESERVING THE CAR


How do I reserve a car?

You can reserve a car on our website (link) or you can phone (if you phone there will be a small charge).

Whats the minimum hire?

You can hire for a minimum of an hour and then in 30 minutes increments.

What if I need the car for longer than 6 hours?

If you book in advance we can supply an alternative car capped at £34 for up to 24 hours or contact our office for a variety of alternative vehicles.

DRIVING THE CAR


How do I get into the Car?

All our vehicles are accessed with a smart-enabled membership card. You simply place it over the card reader on the windscreen and the vehicle will unlock. Once inside members tap their PIN into the on-board computer and take the keys from the designated key storage area. In most cases this will be the glove box.

What about Fuel?

All of our vehicles are equipped with a fuel card. Members simply fill up the vehicle as normal (check whether the vehicle takes petrol or diesel) and hand the fuel card over to the cashier along with the current mileage of the vehicle.

We ask our members to return the vehicles with at least a quarter tank of fuel for the convenience of the next member.

For the unscrupleous the onboard computer tells us how much fuel is added when the fuel card is used.

How do I return the Car?

At the end of your reservation you must return the vehicle to the same bay that you picked it up from.

If when you return from your journey and the bay is blocked by another vehicle please call us for instructions on where you can legally park nearby.

Return the keys to the glove compartment and you must lock up with your smart card.

Do I get a refund if I return the car early?

While the car is reserved in your name, no other member can reserve it during that time, so we do not offer credit for an early return.

What do I do if I need the car a little longer?

Whilst you have the car, as long as its not already booked, you can extend your booking using the onboard computer.

If you are late and don't extend your booking you will be billed for the time, you'll be fined and will be liable for any costs if another member is inconvienienced.

How is the mileage calculated?

The in-car computers calculate exactly how many miles have been driven during the reservation so we can charge you accurately for your trip.

Do I have to pay the Congestion Charge if I go into London?

Yes, at present you will have to. Failure to do so will incur additional penalties levied by TfL for late payment and an administration charge of £30.

Do the vehicles have breakdown cover?

Yes they all have breakdown cover – the number to call will be displayed on a sticker on the windscreen.

INSURANCE


Insurance – what is covered?

The vehicle will be insured for you to drive. Third party and passenger liability cover is also in place.

Your insurance excess will be the first £750 or part thereof of any damage. Please refer to our pricing schedule (link) for more information.

You can pay in advance an annual fee of £90 or £9 monthly to reduce your insurance excess from £750 down to £100.

If you are not at fault and we are able to reclaim the costs from the third party your excess will then be refunded.

What do I do if I have an accident? 

You must report any traffic accident involving personal injury, loss, damage, or theft to the police immediately and to Practical Car Club as soon as you can. The police reference number allocated must be provided. You must not admit liability or guilt in the event of an accident or promise to pay any third party or attempt any repair.

What do I do if the car is damaged when I collect it?

In the glove box is the car's damage check sheet. Check that any damage is recorded and dated on the sheet. If not call us before driving.
